What is refundable, what is not, and how long a refund takes. Refunds follow the value of work delivered, stated here before you engage rather than argued afterwards.
Work already delivered is not refundable; work not yet started is. Fixed-price refunds are calculated pro-rata against completed milestones, unused prepaid hours are returned, and third-party costs bought for your project are not. Approved refunds are paid to the original payment method within 15 to 30 business days, with a credit note issued.

Scope
This Refund Policy applies to all paid service engagements between Cognimit Technologies LLP (“we”, “our”, “us”) and its clients (“you”, “Client”). Read it with our Terms of Service, our Cancellation Policy, and any applicable statement of work (SOW) or service agreement.
Refund eligibility
2.1 Fixed-price projects
Refunds are calculated pro-rata against completed milestones. Completed and approved milestones are non-refundable. Partially completed milestones are assessed for the fair value of work delivered.
2.2 Retainer and monthly engagements
No refund is due for the current billing period once services have been rendered. Future payments cease on the effective cancellation date under our Cancellation Policy.
2.3 Milestone-based projects
Only unstarted milestones are eligible for refund. In-progress milestones are assessed for the fair value of work completed.
2.4 Hourly and time-and-materials
Charges for hours already worked are non-refundable. Unused prepaid hours are refunded.
2.5 Discovery and consultation fees
Initial consultation fees, discovery phase charges, and technology audit fees are non-refundable once the session or phase has been conducted.
Non-refundable items
The following are non-refundable under all circumstances:
- Completed and delivered work product
- Third-party software licences, subscriptions, domain registrations, and hosting fees purchased on the Client’s behalf
- Discovery, strategy, and consultation fees for sessions already conducted
- Costs incurred for third-party APIs, cloud infrastructure, or external services provisioned for the project
- Rush fees or expedited delivery charges for work already performed
Refund processing
4.1 Timeline
Approved refunds are processed within 15 to 30 business days from the date of refund approval.
4.2 Method
Refunds are credited to the original payment method, such as bank transfer or UPI. If the original method is unavailable, we arrange an alternative method after verification.
4.3 Deductions
Cognimit reserves the right to deduct the fair market value of work completed, third-party costs incurred, and applicable taxes from the refund amount.
4.4 Invoice
A credit note or adjusted invoice is issued for every refund transaction.
Dispute resolution
5.1 Filing a dispute
If you disagree with a refund decision, email hello@cognimit.com with the subject line “Refund Dispute — [Project Name]”.
5.2 Response timeline
We acknowledge your dispute within 3 business days and aim to resolve it within 15 business days.
5.3 Escalation
If a dispute cannot be resolved through negotiation, it is governed by the dispute resolution provisions in our Terms of Service, including arbitration under the Arbitration and Conciliation Act, 1996, seated in Ahmedabad, Gujarat, India.
